Molly Kremer Coaching, LLC, doing business as The Billing Coach ("The Billing Coach," "we," "us," or "our"), operates The Billing Generator, a web-based tool located at generator.thebillingcoach.com (the "Tool"). This Privacy Policy describes how we collect, use, store, and protect information when you use the Tool.
By accessing or using the Tool, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use of the Tool.
2. Information We Collect
2.1 Information You Provide Directly
When you use the Tool, you may enter text describing your legal work activities, time entries, matter descriptions, or related billing information. This content is submitted voluntarily by you for the purpose of generating billing narratives.
When you purchase a subscription or license, we collect billing information (name, email address, payment details) processed through our third-party payment processor. We do not store full payment card numbers.
When you contact us for support, we collect your name and email address.
2.2 Clio Integration Data
If you choose to connect The Billing Generator to your Clio account via the Clio API, we may access matter information and time entry data that you expressly authorize through Clio's OAuth authentication process. We access only the data necessary to perform the functions you request. We do not access, store, or retain Clio data beyond what is required to generate your requested output in real time.
2.3 Automatically Collected Information
We may collect standard technical information including IP address, browser type, device type, and usage logs for the purpose of operating, maintaining, and improving the Tool. This information is not linked to your billing content.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Tool and its features
- Process your subscription or license purchase
- Generate billing narratives based on your inputs
- Respond to your support requests
- Improve the Tool's functionality and user experience
- Comply with legal obligations
We do not sell your personal information. We do not use your billing narrative inputs to train third-party artificial intelligence models. We do not share your content with other users.
4. Attorney-Client and Confidential Information
The Billing Generator is designed for use by legal professionals. We understand that billing entries may reference confidential client matters. You are responsible for ensuring that your use of the Tool complies with your professional obligations, including applicable rules of professional conduct governing client confidentiality.
We recommend that users avoid entering information that could independently identify a client without authorization, and that firm administrators review applicable bar association guidance on the use of third-party tools with client data.
5. Data Retention
Text inputs you enter into the Tool to generate billing narratives are processed in real time and are not permanently stored on our servers beyond the duration of your active session, unless you save entries to The Vault feature within the Tool.
Entries saved to The Vault are retained until you delete them or until your account is terminated.
Account and subscription data is retained for the duration of your subscription and for a reasonable period thereafter as required for billing records and legal compliance.
Upon written request to info@thebillingcoach.com, we will delete your account data within 30 days, subject to any retention obligations required by law.
6. Data Sharing and Third Parties
We do not sell, rent, or trade your personal information or content. We may share information with third-party service providers who assist us in operating the Tool, including:
- Payment processors (for subscription billing)
- Hosting and infrastructure providers (Vercel)
- Analytics providers
These providers are contractually obligated to use your information only as necessary to provide their services to us and in compliance with applicable law.
We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of The Billing Coach, our users, or others.
7. Clio API Data Use
Our integration with the Clio API is governed by Clio's Developer Terms of Service in addition to this Privacy Policy. Data accessed through the Clio API:
- Is accessed only with your express authorization via Clio's OAuth process
- Is used only to perform the specific functions you request within the Tool
- Is not stored beyond your active session
- Is not shared with any third party
- Is not used for any purpose other than generating the output you requested
You may revoke the Tool's access to your Clio account at any time through your Clio account settings.
8. Security
We implement reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, use, or disclosure. The Tool is hosted on Vercel, which employs industry-standard security practices.
No method of transmission over the internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.
9. Your Rights
Depending on your location, you may have rights with respect to your personal information, including:
- The right to access the personal information we hold about you
- The right to request correction of inaccurate information
- The right to request deletion of your information
- The right to withdraw consent where processing is based on consent
